Constitution
1 Objective of the club
A. To promote the friendly relationship between all members.
B To improve the photographic skills of the members by holding competitions, lectures, practical demonstrations, photographic outings, visits to exhibitions etc.
2 Membership
Shall be open to anyone showing an interest in the club’s objectives.
3 Subscription
A The annual subscription on enrolment on the 1st of September shall be of such an amount as decided by Downend Folk House Association.
B Guests can attend up to 3 times before they have to join. The door entry fee for guests will be such amount as decided by resolution at the club’s AGM. Members joining part way through the year will pay a pro rata fee for their membership.
C Any member whose subscription remains unpaid at the 1st of December shall be considered as having resigned from the club.
D Members who are in arrears with their subscription will not be eligible to enter club competitions.
4 Meetings
A There will be appx. 25 meetings held on the 2nd 4th and 5th Tuesdays of the month. A programme will be distributed to the members of the club. Optional informal meetings will be held on the other Tuesdays at the discretion of the committee. Outings will be organised at various dates throughout the year.
B The AGM will usually be held in the month of June. The date will be published in the programme. The business of the meeting shall include reports from the officers, election of the committee, publishing of accounts and any other business.
C The committee will hold committee meetings as and when deemed necessary .
5 Administration
A Members of the committee will be elected at the A.G.M. The committee of the club shall consist of Chairman, Vice Chairman, Treasurer, Secretary, Programme Secretary, Competition Secretary, Social Secretary, Web Master and Committee members. The committee has the authority to co-opt members as and when required.
B For the purposes of conducting a committee meeting, FIVE members shall form a quorum.
6 Finance
A The Treasurer shall keep all monies in a Bank or Building Society account, which will be in the name of the club.
B The Treasurer will produce annually, a summary of the clubs finances to be audited and signed by an examiner. These examined accounts will be presented at the AGM.
C The financial year for the club will run from September 1st to August 31st.
D In the event of the club being wound up for any reason, all assets when realised will be allocated to the “Downend Folk House Association” and/or their successors.
7 Amendments and Changes
Any amendments to the constitution, changes to any rules or any other alterations shall be made at the A.G.M. or E.G.M. and come into force 21 days after notification on the notice board. This constitution was amended October 2016.
